About the role:

Clayton Early Learning is seeking a detail-oriented and proactive Executive Assistant to provide high-level administrative support to our President and CEO, plus the executive team. The Executive Assistant will play a crucial role in ensuring the smooth operation of our organization by managing schedules, coordinating meetings, and handling various administrative tasks. What we want you to do:

Administrative Support:
  • Manage executives' calendars, including scheduling meetings, appointments, and other logistical arrangements.
  • Manage the Executive and Board meeting agendas, presentations, and minutes.
  • Coordinate and prepare materials for meetings, presentations, and conferences.
  • Handle correspondence, including emails, phone calls, and mail, in a professional and timely manner.
  • Provide quality assurance with key deliverables and communications.
  • Provide logistical support for internal and community events.

Communication and Liaison:
  • Serve as the primary point of contact for internal and external stakeholders, including board members, campus tenants, staff, donors, and partners.
  • Communicate effectively on behalf of the executive team, ensuring clarity and professionalism in all interactions.
  • Coordinate communication between executives and other departments, ensuring alignment and timely responses.

Project Coordination:
  • Assist in the coordination and execution of special projects and initiatives, including research, data analysis, and reporting.
  • Track project timelines and milestones, ensuring deadlines are met and progress is communicated effectively.
  • Collaborate with team members to streamline processes and improve efficiency.

Confidentiality and Discretion:
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain confidentiality regarding executive decisions, discussions, and personal matters.
  • Uphold professional standards and ethical practices in all aspects of the role.


What we are looking for and what you must have:
  • Bachelor's degree is preferred in business administration, marketing, communications, or related field preferred.
  • Proven experience as an executive assistant or in a similar administrative role, preferably in a nonprofit or educational setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Strong written and verbal communication skills, with a keen attention to detail and professionalism in all interactions.
  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
  • Demonstrated ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility and adaptability to changing priorities and situations.
  • Strong problem-solving skills and resourcefulness in addressing challenges.
  • Commitment to upholding professional standards and ethical practices in all aspects of the role.
  • Knowledge of early childhood education and/or related fields preferred.
  • Must be able to pass criminal background check.

Compensation:
  • Annualized salary is between $65,000 and $75,000
