Alumni Affairs and Constituent Relations

Job Description
  • This position is often the face of the Miner Alumni Association (MAA) serving as the first point of contact for guests entering Hasselmann Alumni House. Provides general assistance to alumni and campus constituents via phone, email and face-to-face interaction
  • Daily tasks include opening/closing of the building, answering the main phone line, and processing daily gifts. Responsible for maintaining, monitoring and responding to inquires received to the MAA general email account
  • Following established policies and procedures, the advancement associate is responsible for providing administrative support and office management, including creating and maintaining alumni records; singularly managing the MAA stewardship program; serving as lead on all human resources function and needs, including recruitment; representing the organization at meetings and training sessions
  • Creates and maintains records and performs other office duties including printing, copying, filing, expense and invoice management, shipping, mailing, scheduling appointments, and contact and data maintenance
  • Provides administrative support for a team of eight and ensures all aspects of the office is running at maximum efficiency. Procures and maintains office supplies
  • Provides direct support to the Assistant Vice Chancellor including calendar management, meeting scheduling (internal and external to campus), travel planning/coordinating and expense reconciliation
  • Serves an integral role as endowment coordinator for all university and alumni association endowments. Responsibilities will include drafting legal documents, managing the endowment approval process, distribution of the final package to the donor, establishing chart field strings and any other fiscal duties surrounding the endowment process
  • Coordinates and executes meetings as necessary, including quarterly board meetings, both in person and virtually, confirming attendance; developing and compiling preparatory work; preparing select reports and assembling materials; preparing meeting space and logistics
  • Supervises both paid and volunteer student workers within the MAA organization
  • Participates in the planning and execution of all on campus events hosted by the alumni association
  • Some night and weekends will be required. Normal workday is Monday - Friday, 8 a.m.-5 p.m
  • Perform other job-related duties as assigned
Minimum Qualifications

An Associate's degree or equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

2-3 years of executive office management experience in a fast-paced environment. Paralegal experience is highly preferred.

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $16.82 to $22.24 hourly.


Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
