Position Summary:

We are seeking aShipping Coordinator/Customer Service Representativewho will be the anchor in managing our shipment schedules and ensuring seamless delivery operations. This role requires proactive engagement with customers and internal teams to fulfill delivery demands, manage inventory, and ensure compliance with service standards. The ideal candidate will possess excellent communication skills, a keen understanding of business processes, and the ability to adapt to changing priorities. Proficiency in computer systems, particularly SAP and Excel, is highly valued, along with a detail-oriented mindset and the capacity to multitask effectively. Availability for overtime and holiday shifts is also expected.

Key Responsibilities

Logistics Coordination:

  • Coordinate the scheduling of quicklime, bags, and rail shipments with precision.

  • Ensure flawless daily operations by reconciling outbound delivery documents within our SAP shipping system.

  • Spearhead both inter-company and intra-company material supply logistics across truck and rail networks.

Customer Engagement:

  • Forge strong relationships with customers, transport partners, sales teams, and operational hubs.

  • Strategically manage daily delivery schedules to align with customer needs and inventory levels.

  • Excel in customer service by overseeing compliance requests, volume reports, inventory checks, quality assurance, and proof of delivery inquiries.

  • Navigate and resolve Proof of Delivery (POD) challenges, balancing customer satisfaction with company objectives.

  • Provide exceptional service, responding to customer inquiries during off-hours and weekends, with a commitment to being on-call as needed.

Problem Resolution:

  • Collaborate with the Logistics team to troubleshoot and resolve freight challenges, including material returns and diversions.

  • Engage with company terminals to adjust shipment details, ensuring alignment with production and delivery requirements.

Reporting & Financial Management:

  • Handle financial adjustments such as debits/credits for material returns within SAP.

  • Oversee the cash sales process at our facilities and distribution points.

  • Generate accurate daily inventory and shipping reports to maintain operational transparency.

  • Contribute to efficient month-end closing procedures.

Additional Responsibilities:

  • Be prepared to take on diverse tasks that support our team's success & other duties as assigned.

Desired Attributes:

  • Exceptional communication skills to guarantee precise and punctual shipments.

  • A solid understanding of business workflows, particularly from order fulfillment to revenue realization.

  • Insight into customer specifications regarding product size, quality, and quantity, in relation to our inventory.

  • The agility to adapt to ever-evolving priorities.

  • Experience with SAP is an asset, but we welcome fast learners.

  • Proficiency in computer systems and Excel is essential for success in this role.

  • A keen eye for detail, a commitment to accuracy, and the flexibility to thrive in a dynamic environment.

  • The ability to multitask effectively under pressure.

  • Strong organizational skills to prioritize tasks and manage time efficiently.

  • Availability to work overtime and holidays as the need arises.

Required Experience: 3 years in order to cash business process, logistics, customer service, or related discipline.

Required Education: High school diploma or GED Equivalent.
