This career position serves as the primary coordinator of the Information Center's daily operations, including oversight of staff activities. Provides responsible administrative and clerical duties in support of other departmental functions, including admissions, registration and record keeping.

Essential Functions/Duties

  • Ensures effective operations of the information center staff, tracks staff attendance, ensures time sheet compliance, and provides training as required.
  • Directs the work of the information center staff to assist in special project needs.
  • Answers calls and assists students and community members with inquiries.
  • Covers shifts and provides support to information center staff as supervisor.
  • Assists the Director in activities related to college, departmental, and office operations.
  • Prepares reports as required and maintains electronic and paper records in accordance with College policies.
  • Coordinates meetings, including room and telephone reservations, and preparation of meeting minutes as requested by the Director.
  • Enters and maintains required participant/student information in secure external databases as required.
  • Learns and maintains expert user-knowledge of Genesis as it relates to department projects.
  • Responds to departmental emails and serves as the department expert with Chat software.
  • Ensures designated department personnel complete tasks as assigned, resolves routine questions and problems, and refers more complex issues to higher level positions.
  • Learns and maintains expert knowledge of the student onboarding process, including the catalog, the GPS, and the Orientation.
  • Works with the Director to establish the tasks and priorities of office operations.
  • Maintains project files and mailing lists, monitors and order office supplies.
  • Collects and formats information and project statistics.
  • Interacts with state agents regarding FLEID, FASTER (transcript exchange) and FloridaShines and other services as it relates to projects at hand.
  • Disseminates a broad range of detailed programs and other information to the public and college staff.

Salary and Benefits Information

  • This position is level C15. Please see below for specific salary range.

Required Education

  • A high school diploma or equivalent.
  • A college degree or college coursework is preferred.
  • Bilingual Spanish/English preferred.
Required Experience
  • 1 year minimum of demonstrated experience in administrative/clerical support, student services, or call center required.

Preferred Experience

  • At least 6 months of experience in a college or university student services department preferred.
  • Experience working with an ERP (enterprise resource planning) system is preferred.
  • Experience working in a Registrar of Admissions department at a college or university is preferred.
  • Supervisory experience is strongly preferred.
