The Colorado Community College System (CCCS) is hiring a Program Assistant to join our Career & Technical Education (CTE) team at System Office. In this role you will provide administrative support to our Health Science and Public Safety Program Director, Family and Consumer Science Program Director (FACS), HOSA State Advisor, and FCCLA State Advisor. You will focus on program management, technical support, and student conference organization with a focus on conference logistics and accounting processes.If you are looking for an administrative assistant role where your work has a direct impact on Colorado students, this position is for you!

The Colorado Community College System's Career and Technical Education (CTE) team serves approximately 2,000 CTE programs at the middle, high school, and postsecondary level across Colorado, including approximately 179 school districts, 20 community colleges, and public entities such as the Department of Corrections. Examples of Duties

  • Provides administrative support for and at the HOSA and FCCLA State Leadership Conferences and national conferences. Includes support and maintenance of the event management system.
  • Assists the FACS Program Director, Health Science Program Director, FCCLA State Advisor, and HOSA State Advisor by maintaining calendars, meeting set-up, websites, travel reservations, and reports. Updates System CTE records and databases. Reconciles student dollar accounts, cuts checks, receives payments, makes deposits and communicates with local chapters regarding invoices and payments.
  • Reconciles monthly financial account statements with copies of invoices, statements, travel expenditure reports, and procurement card receipts (for self, Program Directors, and State Career & Technical Student Organizations Advisors).
  • Establishes office procedures, prepares and coordinates flow of work by identifying, prioritizing, evaluating and choosing the most efficient way to complete written and verbal assignments.
  • Plans, arranges and coordinates advisory board/council/committee meetings and teacher-training workshops. Locates and reserves meeting facilities, maintains current database records for appropriate constituencies, dispatches invitations, tracks RSVPs, contracts with catering vendors for food requirements, and procures necessary equipment.
