Job Description:

RMI is seeking a self-motivated and detail-oriented candidate with exceptional organizational, data and communication skills to provide key donor database services support for the RMI Development team. This individual is responsible for processing and acknowledging all of RMI's gifts and grant payments and ensuring cleanliness and accuracy of gift and donor data in our SalesForce database. In addition, this individual will provide outstanding acknowledgement, stewardship, and customer service to RMI's donors, use and develop reports to support data quality and management, and manage the procurement process for the Development team. The ideal candidate can manage competing prioritieswith a can-do attitude and maintain a pleasant and professional demeanor under pressure. The person must have a proven track record handling sensitive information.

This position reports to Director of Development Operations.

Location: Hybrid position requires one day per week to be on-site at the Boulder, Colorado office.

Key Responsibilities

Gift Processing and Acknowledgement

  • Gift Processing - Process pledges, gifts, pledge-receivables, and grant payments, including accurate and timely data entry and document upload in Salesforce.

  • Deliver high quality support to the team with real-time communication to Relationship Managers when we receive payments or new information from donors

  • Process and send acknowledgement letters, year-end gift statements and other donor commucations (via mail or email) in a timely manner

  • Donor Data Management - update donor records from available information through research, donor communication, including returned mail and online communications.All gifts are properly attributed to the donor with updated contact info if provided, or researched if no info was provided.

  • Identify improvements and efficiencies to the gift processing and acknowledgement flow, while maintaining excellence in donor experience

  • Run new or updated DonorSearch profiles weekly and validate information in DonorSearch for donors with 5-figure potential, weekly.

Procurement Management for the Development Team

  • Submit all requests to Procurement for new suppliers on behalf of the team.

  • Manage new contracts from creation to approval and PO creation.

  • Prepare contract renewals well in advance of expiration date or NTE amount reached.

  • Submit all invoices for the Development team in time to be approved and paid by the due date.

Data Quality and Database Management

  • Be committed to outstanding data quality in our Salesforce database.

  • Become an expert database user and prepare Salesforce reports and listviews, build dashboards, and manage opportunities, revenue and cash flow.

  • Flag upcoming and past revenue and cash flow to be corrected by the first week of the month.

  • Maintain and improve all donor data, contact information and more in SalesForce database.

  • Providedatabaseadministrative support for fundraising, campaign, gift acknowledgment, and donor recognition programs.

  • Conducts routine data cleanup processes including merging accounts, converting leads, updating addresses.

Donor Communications

  • Manage and respond to inbound inquiries (phone/email) from donors and prospects (or route to the Relationship Manager) within one business day and route program-related inquiries to the appropriate team

  • Follow up with donors regarding gifts as needed

  • Support the team with projects such as mailing materials to donors or distributing holiday cards to Relationship Managers

Data and Event Projects

  • Assist with event administration as needed

  • Update contacts to the appropriate account when auto-created through our email logging tool

  • Other ad hoc data projects

Technical and Tools Knowledge

  • Experience working in Salesforce a plus but working knowledge of a customer service database or other donor database required.

  • Experience handling high level customer service needs and sensitive information.

  • Proven attention to detail in data and databases, while also working with efficiency and efficacy.

  • Understands the power of accurate, complete and detailed data in informing good decision-making.Excellent knowledge of software including Salesforce, Office 365, SharePoint, OneDrive, Excel, Word, Power Point and Macintosh, including word merges, printing, and other tasks.

  • Adept at Excel reporting functions, including pivot tables.

  • Communicates clearly andeffectively verbally and in writing and has superior listening skills. Interacts with others in a professional manner.

  • Identifies ways to better use technology to meet needs and enjoys continually building on their knowledge and expertise by implementing best practices in data entry and management.

Minimum Qualifications

  • Bachelor's degree from an accredited college or university or equivalent work experience.

  • Four years of experience working in a data support role

  • Ability to maintain professionalism and strict confidentiality at all times

  • Excellent interpersonal and customer-service orientated communication skillsvia phone and email

  • Ability to continually develop skills related to use of rapidly changing technology and communications best practices

  • Passion for data integrity and hunger for connecting the dots

  • Demonstrated ability to appropriately communicate sensitive information and judge how and with whom information should be shared

  • Dependable and can be counted on to assist with projects outside areas of primary responsibility.

  • Flexible and has the ability to handle unanticipated changes to schedules, plans and workloads; approaches difficult situations with a positive attitude.

Preferred Qualifications:

  • Experience working for a geographically dispersed organization

  • Experience working for a nonprofit

  • Experience working with fundraising or CRM software, especially Salesforce

  • Proficiency in Microsoft Outlook, Calendar functions,Sharepoint, OneDrive, Excel,Powerpoint, Word

Compensation

RMI compensates based on the level and requirements of the role. Compensation within our ranges may also be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. The hourly range for this position is $25.98 to $32.00 per hour. You would also have an additional 5% bonus target!
