Job Summary/Primary Purpose: The Program & Operations Specialist provides comprehensive and confidential administrative assistance to the Program Director, General Manager, and other relevant staff to support excellence in Kroc programming. Coordinates efficient execution of operational and program specific duties to achieve objectives and goals.

Essential Duties and Responsibilities:

  • Provide administrative support, managing resources and information as assigned, to promote effective and efficient development of programs and classes within the Kroc Center.
  • Schedule, coordinate, and manage minutes for both internal and external meetings in support of the Program Director and/or General Manager as requested.
  • Review forms, documents and catalogs, track purchase requests for Program Departments assuring appropriate final approval is attained from the relevant senior staff.
  • Assist in training and effective utilization of all appropriate program focused technology, including but not limited to POS (Club Automation), Program Catalogues in SharePoint, etc.
  • Assist with the input of final and appropriate updates of program information in POS as necessary.
  • Assist in the creation and proofing of marketing pieces, calendars, and other relevant promotional and/or communication materials.
  • Administers program scholarship distribution, assuring compliance with established policies and procedures.
  • Assists in writing proposals for submission to DFB (Divisional Finance Board) and track submissions for required follow-up or responses.
  • Work with Events to coordinate calendars and utilization of program spaces and availability.
  • Prepare packets, reports and documents for meetings, programs, and activities as requested. Copy, file, fax, and distribute documents both electronic and hard copy as needed.
  • Provide input to Leadership on training and development opportunities, and coordinate registrations, travel, and support for relevant staff.
  • Coordinate Safety and team meetings and provide support with agenda creation.
  • Assist in the development, proofing, and organization of SOP's related to programming and assure that all SOP's are on a schedule to be reviewed annually for any relevant updates.
  • Assist in accumulating records and statistics to track utilization and feedback of program participants, members, and guests.
  • Assist as directed in assuring all safety standards are met and all certifications are tracked as required for each department.
  • Assists the program team with responsibilities when positions are vacant, or coverage is not available as assigned.
  • Actively participate in community events and outreach to effectively promote utilization of the Kroc Center as assigned by senior staff.
  • All other duties as assigned.

Supervisory Responsibilities: None

Education and/or Experience:

  • Bachelor's Degree in a relevant field such as sports and recreation, business, or non-profit administration preferred. High school diploma or equivalent (GED) required.
  • Previous administrative and/or support experience preferred.
  • Previous program experience in at least one program specialty provided by the Kroc Center is preferred.
