IP Docketing Specialist

Summary

The IP Docketing Specialist will have responsibility for implementing standard practices for consistent workflow, ensuring the correct assessment of deadlines entered in our trademark docket records, and maintaining the integrity of the information in the Firm's intellectual property docket database, WebTMS.

Duties and Responsibilities
    Records incoming and outgoing patent correspondence and ensuring that all events associated with deadlines are properly docketed.
  • Monitors attorney dockets and regularly apprising attorneys of upcoming and imminent deadlines.
  • Reviews and date-stamps all incoming trademark correspondence; scan incoming and outgoing correspondence as necessary; sends copies of correspondence to the secretaries supporting the trademark practice group.
  • Maintains and coordinates entry of docketing information with respect to the prosecution and maintenance of trademarks, copyrights, and domain names. Analyzes and updates docketing records to ensure correct assessment of deadlines and accuracy of database.
  • Processes and interprets correspondence to/from the USPTO, international trademark offices, clients, and foreign associates. Discerns the appropriate information to docket in a timely and accurate manner.
  • Conducts research on patents, trademarks, copyrights and domain names. Searches for and retrieves filing information from PTO websites.
  • Generates monthly dockets, according to office policies.
  • Creates custom database queries and reports at the request of clients, attorneys and support staff.
  • Coordinates with trademark practice group regarding common administrative issues.
  • Creates new records in the trademark docketing database.
  • Prepares data sheets for incoming transferred cases, as well as data verification. Reviews files received against matter specific docket reports. Reviews the intake report, prioritize based on deadlines and stage the intake accordingly. Runs default system reports to ensure all matters and deadlines are accounted for.
  • Reviews all documentation for outgoing file transfers, including file transfer checklists, records' reports, and courtesy copies of dockets; updates the docket and generate transferred matter reports.
  • Maintains a safe and unobstructed work area, including a neat and well-organized desk, and demonstrates safe work practices.
  • Performs other work-related duties as assigned or as judgment or necessity dictates.

Education and/or Experience:

Required:

  • High school diploma or general education degree (GED)
  • A minimum of 2 years of experience with trademark prosecution docketing and general office experience
  • Experience using a trademark docketing system
  • Law firm experience

Preferred:

  • IP Docket Experience
  • WebTMS Experience
