Cabot Corporation is seeking a highly organized and proactive Legal Assistant to support Cabot's SVP and General Counsel and law department attorneys and paralegals. This individual will join the law department team at the company's headquarters in Boston, MA and is eligible to participate in Cabot's Flexible Working Arrangement (hybrid) program.

The ideal candidate will have experience working with attorneys and paralegals in either an in-house or law firm environment. Additionally, the candidate would possess exceptional communication and organizational skills, and an ability to balance multiple priorities and meet deadlines. The position handles sensitive and highly confidential information; attention to detail, discretion and good judgment are critical. This role offers the opportunity to work closely with executive leadership and contribute to Cabot's overall success.

How You Will Make an Impact
    Provide administrative support to the SVP and General Counsel and the Boston-based law department attorneys and paralegals. Handle sensitive and highly confidential information pertaining to Cabot's operations.
  • Manage Cabot Board of Directors meeting materials in the online Board portal. Coordinate receipt of materials and upload Board and Committee meeting materials and analyst reports to the portal. Obtain necessary signatures and file Board and Committee meeting minutes in minute books. Maintain and update index of Board minutes. Assist with annual Director & Officer Questionnaires.
  • Obtain signatures and maintain files of all SEC filings. Maintain files for Disclosure Controls and Procedures.
  • Manage contract entry into contract legal management database.
  • Manage Legal Tracker Invoice Processing, Time Keeper Rates, Matter Creation, Quarterly Accruals, New Vendor Set Up, User Administration.
  • SharePoint Law Department Maintenance and Administration.
  • Assist with material development (develop PowerPoint slides, research topics, edit and proof material, etc.). Collect, assemble and summarize information from various sources, prepare reports, graphics, agendas. This includes updating at least quarterly the list of Cabot employees who are subject to Cabot's quarterly blackout period based on information requested from HR and Finance, and reporting to Cabot HR and outside 3rd parties.
  • Process, type and respond to correspondence as appropriate. Review/proofread/correct documents as requested, such as correspondence, legal and financial documents.
  • Coordinate travel arrangements; coordinate itineraries with other travelers; research and obtain foreign travel materials such as updated passport, entry visas; prepare expense reports. Assist with maintaining bar and bar association memberships as requested.
  • Make appointments, detailed arrangements for telephone and videoconferences and other events including Law Department meetings. Manage SVP's calendar.
  • Follow up on administrative details with others to ensure requests for information are submitted on time. May coordinate projects or on-going programs, following up with participants on details and deadlines.
  • Answer telephone and inquiries as appropriate or route to others. Interface with members of senior management across the company as well as external parties.
  • Set up and maintains files; maintain department office supply inventory; place orders as needed and arrange for payment.
What You Will Bring to Cabot
  • 7+ years of experience providing high-level administrative support to executives in a corporate environment.
  • Previous legal experience required.
  • Experience with Legal Tracker or Diligent softwares is a plus.
  • Secondary education required; High School diploma/GED is required, but post-secondary training (certificate program) or bachelor's degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Ability to learn new software and systems, as needed.
  • Ability to work effectively across all levels of stakeholders in a global organization (seniority, time zones, cross-cultural differences, etc.) including prior experience supporting global employees.
  • Experience with calendar management, utilizing MS Outlook, and travel planning and expenses (preferably utilizing Concur)
  • Prior experience using and administering collaboration technologies and platforms (e.g. MS Teams, SharePoint)
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Ability to maintain professionalism and composure under pressure, demonstrating tact and diplomacy in all interactions.
