Proposal Coordinator
Description/Job Summary

We are seeking an energetic, passionate Proposal Coordinator who will lead proposal and/or presentation production efforts in preparing high-quality submissions for our clients. This position will participate in proposal strategy in support of the firm's goals and will work alongside technical writers and senior leaders to best present our company's history and qualifications to win new work. This position will be trained, mentored and supported by our Director of Proposal Management.

Responsibilities/Duties
  • Reviews RFP/RFQ/SSN/RFI documents so that client requirements are clearly understood. Prepares the responsibility and compliance matrix.
  • Prepares for and leads proposal kick-off and review team meetings.
  • Coordinates the writing, editing and production of statements of qualifications, proposals and other marketing materials.
  • Identifies and edits existing materials to effectively communicate the firm's services, core capabilities and discriminators. Captures new narratives for addition to the marketing content database.
  • Coordinates with senior leaders of the firm as well as members of the Operations, Estimating, Preconstruction, IT/BIM, Safety and Accounting departments for marketing/proposal content.
  • Organizes written materials supplied by support groups including organization of sections, tables, exhibits, and attachments. Develops proposal ensuring accurate content, consistency and compliance.
  • Attends pre-proposal meetings and site visits to become familiar with project scope and proposal requirements.
  • Tracks and reports status of all proposal elements to Director of Proposal Management Designs the cover, tabs and interior layout of proposals to best present the content in compliance with the RFP/RFQ.
  • Coordinates the preparation of Powerpoint presentations, assists with team rehearsals and attends the interviews to support the team.
  • Updates firm-wide database with project and proposal information.
  • Assists with gathering, formatting and maintaining accurate, up-to-date firm marketing information including team resumes, project descriptions and statistics, and other information for marketing purposes.
  • Supports special projects and completes other marketing responsibilities as needed including brochures, flyers, and marketing collateral.

  • Strong organizational skills and the ability to coordinate and prioritize multiple projects.
  • Proven ability to meet strict deadlines 100% of the time, without fail.
  • Must have excellent writing and editing skills.
  • Excellent oral communication and interpersonal skills.
  • Strong document organization and attention to detail skills.
  • Ability to self-manage assignments with minimal oversight.
  • Must have conceptual thinking proficiency and effective decision-making skills.
Preferred Skills
Familiarity with Adobe and Microsoft Office products, particularly Adobe InDesign, Photoshop and Acrobat Pro and Microsoft Word, PowerPoint, and Excel is preferred, but will provide training for the right candidate.

Required Education
A bachelor's degree is required, with a degree in English preferred. A bachelor's degree in marketing, communications, journalism, business or a related field may be acceptable.
