Job Overview & Responsibilities

The Operations Support Analyst focuses on the operational aspects of consulting projects and subcontractor agreements. This role works closely with consulting teams to ensure the smooth execution of projects, provide administrative assistance, and contribute to the improvement of processes to drive efficiency and boost customer satisfaction. Primary responsibilities include compiling data for project operation reports, supporting the subcontract agreement process, and conducting project close-out activities. This position works under close supervision with overall direction and guidance from direct management. The candidate will work in a hybrid work environment on Tuesdays and Thursdays in the office.

Responsibilities and Essential Duties:

    Provide administrative support in subcontractor agreement process to include data collection and documentation completion, in coordination with the subcontractor, PMO and Contracts Teams.
  • Generate weekly timecard reports in OpenAir, and conduct follow up activities as needed for open timecards.
  • Create project initiation tracking in OpenAir when projects are booked.
  • Drive the administration of subcontractor onboarding and offboarding processes, to include attending Internal Handoff meetings, maintaining BI/DS log, overseeing the completion of subcontractor paperwork, facilitating the subcontractors' initial setup upon starting, and submitting offboarding notifications to IT upon project close.
  • Support project close activities to include compliance reporting, confirming project deliverable(s) completion, and distribution of Subcontractor Release Forms.
  • Maintain and manage subcontractor ordering documents (with exception of Oracle).
  • Maintain and manage weekly reports to include the Consolidated Touchpoint report and Operations report.
  • Review, format, and edit consultants' resumes for project approvals and proposals as requested.
  • Attend and participate in weekly meetings to provide updates.
  • Conduct monthly POP reviews to obtain PM updates for action on Period of Performance and adjust tracking sheet, as needed.
  • Provide guidance for updating consultant capabilities, skills, and certifications within Company intranet.
  • Provide consultants with exam vouchers to complete technical certifications.
  • Provide quarterly Referenceability and Work At Risk (WAR) numbers to Sr Quality Manager for Management Review.
  • Conduct internal audits and participate in external audits for 9001:2015 ISO Quality Management System.
  • Make recommendations to improve internal processes, policies, and guidelines with the goal of ensuring excellence in work performed within the team.

Qualifications

Minimum Requirements:

  • Bachelor's degree in Business Administration or related field and/or equivalent combination of education and/or experience.
  • 1-2 years' experience providing administrative support.
  • Experience working in a consulting or services environment is preferred.
