The Property Operations Assistant provides operational support to the building property management team who is charged with enhancing the customer journey and fostering a customer-centric culture within the division. This person will assist with maintaining building and parking access control, as well as other building related projects and events, delivering best-in-class memorable experiences for our customers.

Responsibilities:

  • Build strong customer relationships by proactively addressing customer concerns and inquiries, demonstrating a positive attitude and dedication to providing exceptional service.
  • Assist Property Management team with operational needs as necessary; this may include assisting with Customer Experience events, vacant suite prep and general building/property inspections, etc.
  • Maintain access control systems and distribution of access cards to customers.
  • Assist customer service on parking tag number issuance and chaser ticket preparation and delivery.
  • Maintain inventory of building and parking access cards as well as parts and supplies.
  • Update and maintain reserved parking logs.
  • Assist property management team in review A/R and provide collection support of past due balances.
  • Assist the security, maintenance, and property management team with the maintenance, repair and replacement of parking equipment, related cameras, and all associated system software, investigates complaints concerning malfunctions.
  • Interface with the corporate Parking Operations Center to: support general operation requests, escalate system issues, and ensure the completion of vendor related preventive maintenance and repairs.
  • Manage vendors / contractors performing all maintenance in the building parking structures including but not limited to janitorial, electrical, lighting, security ambassadorship, floor surfacing, and building access control systems.
  • Maintain contractor/vendor list.
  • Research and follow-up on building or parking access concerns and bring to successful resolution.
  • Assist in preparing plans and cost estimates for parking garage capital improvement projects and/or general repairs and maintenance.
  • Generate monthly back-up for access card billbacks to customers and provide to manager for review.
  • Perform routine inspections at front entrances of buildings, loading docks and parking deck structures for cleanliness noting any deficiencies.
  • Effectively execute troubleshooting instructions from higher level support.
  • Inspect parking collection equipment ensuring the proper collection of cash from Pay-on-Foot (POF) machines; periodically collecting cash from the machines with assistance from the Security Director.
  • Assist property management in the preparation and audit of parking operations revenue budgets, monitoring of expenditures, and implementing projects.
  • Invoice monthly for validations and any customer specific special billing charges.
  • Establish positive working relationships with customers, public visitors, and Highwoods' staff.
  • Prepare general reports and records as needed.
  • Assist security in parking enforcement with citations and The Barnacle Program for improper parking.
  • Act as liaison to the valet service contracted by restaurants and hotel.
  • Assist in coordinating additional support staff as necessary for miscellaneous special events.

Variable hours required:

  • Monday - Friday, 8am-5pm or 9am-6pm, with some weekend events required.


EDUCATION/EXPERIENCE:

  • Associate's degree preferred, along with at least 3 years of related experience.
  • Accounts receivable and billing experience preferred.
  • High competency with Microsoft Word and Excel.

PHYSICAL SKILLS:
Ability to sit, stand, walk, kneel, crouch and stoop, read printed materials and a computer screen, communicate in person and over the telephone, lift and carry 65-pound boxes and materials.

WORK ENVIRONMENT:
Ability to work in a shop and field environment, exposure to outdoors, traffic hazards and inclement weather.
