Events Assistant - "Access for All" Program

Summary: Provide support to the Museum's Access for All programming, ensuring successful execution of all related events.

Access for All: The Saint Louis Art Museum has been selected to participate in the Art Bridges Foundation's Access for All pilot program from 2024 through 2026. The pilot program's initiative is to increase access to the Museum and foster engagement with local audiences. The initiative offers support by covering the costs of programming, marketing, outreach, and additional efforts that reduce barriers for audiences. Access for All Free Fridays will provide Museum visitors of all ages with a variety of exciting new experiences and programs. With live music, gallery activations, open studios, films, performances, and more, there will be something for every visitor to enjoy. The expansion of existing programs in addition to the implementation of new opportunities will assist the Museum in connecting with and building upon new audiences.

Essential Duties and Responsibilities:

  • Work closely with other Museum departments and the food service provider to ensure Access for All events are placed on the calendar and assigned to a program manager.
  • Monitor space requests and facility usage to prevent scheduling conflicts, works with Museum Events Manager and other museum stakeholders to resolve scheduling conflicts.
  • Coordinate facility use needs with operations department staff.
  • Create and distribute work orders.
  • Create event floor plans and diagrams.
  • Assist in the procurement of rental equipment with contract vendors.
  • Coordinate the use and set-up of equipment for meetings and events with internal stakeholders.
  • Other duties as assigned pertaining to Access for All programming.

  • Frequent standing, walking and sitting.

Qualifications: High school diploma required. Professional experience in event and meeting planning preferred. Must demonstrate excellent attention to detail, time management, and communication skills (oral and written). Strong skills with Excel and Word required. Prefer experience with database and scheduling software. Knowledge of Museum operations is a plus. This job works directly with Access for All programming onsite at the Museum every Friday.

Additional Details:

Minimum of Range: $21.71/hour

Status: Limited-Term, part-time (20 hours/week)
