Description

The Fuel Specialist is responsible for providing decision support through financial and situational reporting and analysis as well as contract audits. This individual is responsible for supporting the development of business intelligence solutions as well as providing reporting support to departments across the company, such as Metroplex and Retail Fuel Pricing.

ESSENTIAL JOB FUNCTIONS / PRINCIPAL ACCOUNTABILITIES:
Other duties may be assigned. A teammate in this position must have the ability to:

  • Supports various fuel categories and business functions and ensures the proper reporting and data are available for internal users.
  • Provides research and reporting support to internal customers including, but not limited to: financial analysis, data analysis, trend identification, as well as monitoring and summarizing the progress of tests and promotions.
  • Creates reporting tools to identify business challenges and opportunities for improvement.
  • Use data from various sources in reporting to track and drive the business forward in areas such as retail pricing, wholesale analysis, fuel accounting, etc.
  • Fulfills ad hoc requests for reports determining fuel trends, fuel grade testing, exception reporting analysis, retail rates, rack rates, etc.
  • Assesses current fuel reporting processes and provides recommendations for new methods to enhance reporting and analytics for internal customers.
  • Acts as a point of contact for internal/external customers on reporting needs and requirements.
    • Effectively understand and interpret supplier fuel pricing/service implications and their associated impacts.
    • Works closely with vendor/suppliers to ensure all purchases/invoices are received timely, products and services meet expectations, and variances are accurately resolved.
  • Works with Business Intelligence team on reporting and data efficiency.
  • Provides support and point of contact for external suppliers' data tracking, fuel supply interruptions, logistics support, etc.
  • Bulk Fuel Inventory Management
    • Actively monitor designated customer's tank readings
    • Plan deliveries as indicated by current fuel level and average daily usage.
    • Monitor market direction and adjust delivery time as necessary to manage customer fuel needs with the company's best purchasing opportunities.
    • Schedule, coordinate, and manage fuel deliveries to customer locations.
    • Build strong relationships with suppliers & carriers to support customer's fuel management program.
    • Ability to make fuel procurement or financial decisions efficiently and independently within established guidelines.
    • Ability to participate in an on-call rotation requiring weekend and overnight availability.
  • Customer Service
    • Receive customer calls /emails, engaging with a warm, pleasant, and helpful attitude.
    • Identify customer problems and resolve timely either directly or through other departments for resolution; maintain communication with the customer throughout the process.
    • In addition to inbound phone calls and email, other methods of communication and requests for delivery need to be managed and executed upon to ensure timely and accurate delivery of service on behalf of the customer.
  • Fuel Accounting Services
    • Review customer's bulk fuel, over the road, wet hosing, and DEF vendor invoice exceptions, correct errors, or dispute invoices on customer's behalf.
    • Work with vendors to resolve any disputed invoices.
    • Ensure vendor invoices and files are processed for payment timely and accurately.
    • Management statement process and ensure vendors are paid timely.
  • Track Discounts.
  • Maintain/Owner of Contracts.
  • Conducts Fuel Audits.
  • Track OPIS/ARGUS rates.
  • Direct contact for vendors/facilities with fuel issues.
  • Maintain fuel files.
  • Responsible for setting up new vendors.
  • Maintain and Troubleshoot Over the Road (OTR) charge card use.

MINIMUM QUALIFICATIONS AND REQUIREMENTS:
A teammate in this position must have:

  • High school diploma required, Bachelor's Degree or equivalent work experience .
  • Four (4) years of administrative support in a support role required.
  • Proficient in MS Excel, MS Office, MS Power Point, and familiar with general computer software skills.
  • Have excellent organization and documentation skills.
  • Ability to prioritize projects and multitask.
  • Ability to initiate, recognize and correct audits and reporting.
  • Excellent written and verbal communication skills.
  • Be able to work independently.
