Job Description
THE ROLE
VEIR is seeking a resourceful, detail-oriented, and proactive Executive Assistant to join our team as a supportive force to drive the productivity of VEIR Leadership. This position will provide administrative support to VEIR's CEO and Leadership Team and will play a crucial role in driving the overall efficiency and effectiveness of the organization. This is a wonderful opportunity for an experienced, strategic EA and could also serve as a steppingstone for an aspiring Chief of Staff to gain valuable experience in a dynamic startup driving global decarbonization and grid resilience.
This position will be full-time, Monday- Friday 9:00-5:00 on site at VEIR's headquarters in Woburn, MA and reports to the Head of Operations.
In this role you will:
  • Coordinate complex scheduling and calendar management for the CEO, as well as other members of the Leadership Team as needed, including making appointments, prioritizing the most sensitive matters, sending reminders, and identifying and resolving conflicts
  • Create space for the CEO to effectively manage time for various competing priorities including internal and external meetings
  • Be the connective glue between the CEO and the rest of the team with a pulse on what is happening to effectively troubleshoot and escalate, as necessary.
  • Serve as VEIR's receptionist for visitors entering our building
  • Manage all travel logistics and activities for the Leadership Team and other staff as needed, including accommodations, transportation, and meals
  • Plan offsite meetings, luncheons and dinners, all staff planning meetings, and other company events; identifying venues and organizing catering when necessary
  • Provide administrative assistance, such as writing and editing e-mails, preparing slide decks and memos, and preparing communications on the behalf of the CEO and members of the Leadership Team
  • Maintain comprehensive and accurate records for members of the Executive Team, including corporate documents, meeting notes with action items, contracts, and reports
  • Support administrative team, including minor accounting and HR duties, process development and implementation, and other projects to drive team productivity and impact

  • You have at least 3 years of professional experience in a startup environment
