Job Description
Position: Accounts Payable (AP) Specialist Location: San Antonio, Texas
Employment Type: Contract 3-5 months
Responsibilities:
  1. 3-Way Matching: Perform thorough 3-way matching of invoices, purchase orders, and source documents to ensure accuracy and compliance with company policies and procedures.
  2. Invoice Processing: Receive, review, and process a high volume of supplier invoices accurately and in a timely manner using the company's accounting software.
  3. Vendor Management: Maintain positive relationships with vendors, addressing any inquiries or discrepancies related to invoices, payments, or account statements.
  4. Payment Processing: Prepare and process payment runs, ensuring vendors are paid in a timely and accurate manner, while adhering to payment terms and internal controls.
  5. Expense Coding: Accurately allocate expenses to appropriate accounts, departments, and cost centers.
  6. Reconciliation: Conduct periodic reconciliations of vendor statements, resolving any discrepancies and ensuring all outstanding invoices are accounted for and paid.
  7. Compliance: Ensure compliance with company policies, accounting principles, and relevant regulations during the AP process.
  8. Record Keeping: Maintain organized and up-to-date AP records, including invoices, payment details, and vendor information.
  9. Process Improvements: Continuously seek opportunities to streamline AP processes and enhance efficiency and accuracy.
  10. Reporting: Assist in preparing AP-related reports and provide financial data to the management team as needed.
Qualifications:
  1. Education: Bachelor's degree in Accounting, Finance, or related field preferred.
  2. Experience: Minimum of 3 years of relevant experience as an Accounts Payable Specialist at a large company
  3. 3-Way Matching Expertise: Proficient in 3-way matching techniques and well-versed in identifying discrepancies in invoices, purchase orders, and receiving documents.
  4. Software Proficiency: Experience with accounting software and large ERP systems, such as SAP/Oracle/PeopleSoft/is highly desirable.
  5. Attention to Detail: Exceptional attention to detail and accuracy in data entry and processing tasks.
  6. Time Management: Ability to handle a high volume of invoices and payments while meeting deadlines effectively.
  7. Communication: Strong written and verbal communication skills, with the ability to interact professionally with vendors and internal stakeholders.
  8. Analytical Skills: Capable of resolving issues, conducting reconciliations, and identifying process improvements using analytical and problem-solving skills.
  9. A collaborative and supportive approach to work, contributing positively to theteam's success.
  10. Willingness to adapt to changing priorities and embrace new technologies and tools related to the AP function.
