Wages & Benefits

A Typical Day in the Life...

A typical day as Urban Homeworks' Executive Assistant and Office Coordinator provides an opportunity to apply your skills in a mission-critical position operating at the hub of a dynamic and innovative cross-functional team in a fast-paced work environment.

Executive Support

  • Providing administrative support for the Executive Director.
  • Managing the ED's workflow, including the triage and prioritization of requests.
  • Providing logistical support for internal and external organizational events involving the ED.
  • In collaboration with the ED, building and maintaining internal systems and processes to ensure the efficiency of the ED's office.
  • Serving as a thought-partner to the ED, and leadership team, challenging ideas and offering a different perspective.
  • Maintaining the Executive Director's calendar by anticipating calendar requirements, keeping calendar up to date, arranging travel logistics, sending reminders as needed, and scheduling appointments, meetings, or conference calls.
  • Supporting the Executive Director in prioritization of tasks by tracking to-dos, creating space in their calendar, and slating tasks appropriately.
  • Preparing the Executive Director for meetings by compiling necessary resources and anticipating needs, including tracking and performing follow-up activities and deliverables.
  • Maintaining paper and electronic filing systems, preparing meeting materials, coordinating meeting logistics, and taking the lead on copy editing.
  • Managing and processing the Executive Director's expense reports and credit card statements.
  • Proactively following up with the ED's direct reports on key tasks to avoid losing site of objectives.

Board Support

  • Organizing and sending meeting packets prior to all Board meetings.
  • Managing and preparing Board activities with the Executive Director by scheduling meetings, preparing materials, managing meeting logistics, recording meeting minutes, and other administrative board related projects as needed.
  • In collaboration with the Board Secretary retaining, maintaining, and managing the organization's Board information, both historical and current. Following governance requirements for accurate record-keeping.
  • In partnership with the ED, managing board relations and communications.

Office and Operations Support

  • In partnership with the Finance and Operations Director, processing incoming mail and tracking and purchasing general office supplies.
  • In collaboration with the Finance and Operations Director, maintaining and updating office information and operations procedures including filing systems and office organization.
  • Providing operational and coordination support for All-Staff activities, including vendor outreach and scheduling, and managing of All Staff calendar.
  • Updating and maintaining TEEM site.
  • Co-leading Anti-Racist Hiring Committee, in conjunction with the Finance and Operations Director; maintaining consistent processes and procedures for posting distribution and values-screening and partnering with MACC to keep internal processes updated according to anti-racist best practices.
  • Participating in professional development efforts as needed or required.
  • Participating in one home building shift with UHW volunteers per calendar year.

Who You Are

  • You have an associate or bachelor's degree (preferred).
  • You have three to five years of experience as Executive Assistant or Administrative Assistant and operations coordination (preferred).
  • You are experienced in successful project management (preferred).
  • You have a committed resolve for the Urban Homeworks mission and for the communities in which Urban Homeworks is implementing its community development strategies.
  • You have excellent organizational and time management skills and the flexibility to quickly adapt priorities in a changing environment and among competing demands for time.
  • You hold a strong critique of capitalism, an understanding of race, gender and economic oppression, the ability to use a justice framework, and a passion for building a healthy community.
  • Your communication skills are highly developed, both verbal and written, to understand and relay complex information, be concise, compelling, and effective to a broad range of people with varying backgrounds.
  • Your interpersonal skills are strong for working well one-on-one or with large groups of people.
  • You have strong attention to detail, organizational skills, planning, follow-through, and prioritization skills.
  • Your problem-solving skills are excellent and you have the ability to develop creative solutions.
  • You have excellent interpersonal skills and the ability to collaborate across departments and focus areas.
  • You have a working knowledge of Microsoft Office Suite, Zoom and are technologically savvy.
  • You can thrive in a high-paced, multi-faceted environment and are eager to contribute to a growing and evolving organization.
  • You are dependable, can exercise good judgment, and deal with confidential information with discretion.
  • You can problem solve, apply critical thinking, and independently manage tasks with minimal supervision.
  • You are able to complete a high volume of tasks and projects with little or no guidance.
  • You have high emotional intelligence and the ability to inspire trust in all situations.
  • You have a valid driver's license, access to reliable transportation, and the ability to meet Urban Homework's driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit.
