As a Dental Office Coordinator, you'll play a vital role in coordinating dental care with families, providers, and dental staff. You will be responsible for preparing and setting up instruments, materials, and equipment, sterilizing dental equipment, assisting in room preparation, and accurately recording information on patient records. Additionally, you will coordinate and maintain the dental schedule for multiple sites, prepare the team for day-to-day operations and patient flow, and provide exceptional customer service to patients and visitors.

Key Responsibilities:

  • Dental Care Coordination: Coordinate dental care with families, providers, and dental staff, ensuring seamless communication and collaboration for optimal patient outcomes.

  • Instrument and Equipment Preparation: Prepare and set up instruments, materials, and equipment, ensuring everything is organized and ready for dental procedures.

  • Sterilization Procedures: Perform sterilization of dental equipment, adhering to strict infection control protocols to maintain a safe and hygienic environment.

  • Room Assistance: Assist in room preparation, facilitating efficient workflow and patient comfort during dental procedures.

  • Patient Record Keeping: Accurately record information on patient records, maintaining comprehensive and organized documentation of treatments and appointments.

  • Schedule Coordination: Coordinate and maintain dental schedule for multiple sites, optimizing appointment scheduling and maximizing patient access to care.

  • Team Preparation: Prepare the dental team for day-to-day operations and patient flow, ensuring smooth clinic operations and exceptional patient experiences.

  • Appointment Management: Answer incoming calls, schedule appointments, and dispatch messages appropriately, providing excellent customer service and efficient appointment coordination.

  • Patient Care: Attend to the needs of patients with patience, care, compassion, and understanding, ensuring they feel valued and supported throughout their dental visit.

  • Effective Communication: Communicate with patients, families, visitors, and associates using a caring, friendly, personal, and professional approach, fostering positive relationships and a welcoming atmosphere.

  • Flexibility and Adaptability: Perform other duties as assigned, demonstrating flexibility and readiness to support the dental team as needed to ensure optimal clinic operations.

Experience and Education Qualifications:

  • High School Diploma or equivalent required.

  • Maintain current CPR certification.

  • Previous dental office experience desired, but not required.

Supervisory Requirements:

  • None

Additional Qualifications:

  • Effective communication skills with patients and coworkers.

  • Willingness to learn and expand abilities.

  • Computer knowledge of Microsoft Word and Excel.

  • Ability to type and perform data entry quickly and accurately.

  • Exceptional record-keeping skills.

  • Effective time management and leadership skills.

  • Ability to establish and maintain positive working relationships with patients and staff.
