Job Description:

Position Title: Learning and Engagement Administrative Assistant

Position Type:Part-time

Division: Learning and Engagement

Department:Operations and Administration

Reports to:Director of Strategic Operations, Learning and Engagement

Compensation Range: $18.65 - $22.95

Position Summary

The Part-time Learning and Engagement Administrative Assistant provides financial administrative support for the Learning and Engagement division. The ideal candidate for this role is organized and detail oriented, understands systems and financial functions such as working with and contracting independent contractors, overseeing payments, invoicing and budget tracking. In addition, this position will help provide some project assistance.

The Part-time Learning and Engagement Administrative Assistant will report to the Director of Strategic Operations for the Learning and Engagement division.

This position requires Shift Leads to work rotating shifts in order to learn and facilitate departmental and facility needs.

This position requires ongoing flexibility in work hours due to events, staffing needs and other factors.

Position's Principal Responsibilities

* Administers the contracting process for all programs within the Learning and Engagement team; drafts contracts, routes for approval, sends to vendors

* Collects and submits all invoices from contracted labor for the division, obtains approval from supervisors and submits for payment in Workday

* Oversees school bus and teacher reimbursement related to the Walker School Visits program

* Creates dashboards and reports ensuring visibility for the team of their financial data

* Reviews monthly expenses to ensure proper coding and make updates where needed

* Assists the Director of Strategic Operations, Learning and Engagement with scheduling and calendar management

* Other project assistance as needed

Minimum Qualifications

* 2 years relevant administrative experience OR bachelor's degree in business administration, or related field

* Experience with Microsoft Outlook and other Microsoft Office tools, such as Microsoft Teams and SharePoint

* Experience with Workday

* Experience with Asana

* Physical demands: Position requires working in Museum Galleries for prolonged periods of time. This position requires standing, walking and climbing stairs, bending and stretching, and physical stamina to lift a minimum of 50 pounds unassisted. This position requires visual acuity to review written materials is required for this job.

* Work Environment:Work will be performed in an office environment, museum spaces. Additionally, Strong communication skills and ability to interact politely and effectively with a wide range of Museum members, visitors, volunteers and staff. Effectively utilize museum communications system. Communicate with public safety, fire and other local or state emergency personnel in an effective and calm manner.
