Work is at a department providing logistical support and and advisory assistance for seminars and meetings held by the organization.
Taking and placing accurate phone messages/conferences and calls, ensuring they are routed in a timely manner to the Secretary;
Welcome guest, Executive Director’s, Management and VIP’s to the Secretary office and conference rooms;
Manage Front Office correspondence, incoming mail, faxes, emails, xerox copies and distribute/archive them accordingly;
Keep the Secretary agenda and conference room calendar appropriately;
Provide administrative assistance to department (provide front desk coverage, work ensure office equipment is functioning properly, and support the Secretary as needed);
Provide support in updating the Secretary outlook agenda and folders (agendas for every meeting responsible to participate, seating charts, voting power and order of precedence documents, telephone chart and contact information, as needed for each committee, audio conferences and meetings;
Handle administrative logistics for meetings and conference calls;
Perform other duties as requested by the Secretary;
Provide support to team members, under the consideration of the Secretary;
Maintain an effective communication and collaboration with other sections.
Ability to work in team and solve non-routine issues;
Excellent judgement in handling confidential and sensitive information;
