Job Description

Position Title: Executive Assistant - Operations

Reports to: Director of Operations

Job Summary: The Executive Assistant – Operations is responsible for daily functions and/or processes that are necessary for business execution and provides daily business support and planning to the Senior Leadership of Texas First Rental. Additionally, this position supports the Director of Operations in the following areas: Branch process improvement and operational excellence, support fleet reporting and organization, facility support, rental division expense reporting, and safety training/reporting in an ongoing effort to increase overall rental sales productivity and safety.
The incumbent in this position is expected to model the following practices on a daily basis: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.

Essential Functions:

• Supports branch process improvement initiatives to improve operational excellence

• Completes and monitors organizational functions or processes, ensuring they are completed accurately, on time, and in compliance with established policies and regulations

• Provides daily support as needed to the Senior Texas First Rental Leadership team and proactively keeps them informed of applicable urgent business developments throughout the day

• Collaborates with leadership to implement and support procedural changes meant to improve performance or efficiency

• Tracks, processes, and prepares reports for management detailing the quality of departmental actions

• Safety tracking and training to include, but not limited to, TRIR and DART

• Aids in the safety auditing of branches and maintains a safety culture.

• Develops and tracks key performance indicators (KPIs)

• Supports new and existing facility operational needs

• Supports the management and reporting of all rental support fleet

• Assists in the development and training of service and operational personnel

• Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards

• Requires regular and punctual employee attendance

• Performs other duties as assigned

Knowledge, Skills, and Abilities:

• Strong knowledge of Microsoft Excel software

• Solid working knowledge of MS Office applications including Word, Project, and PowerPoint

• Strong data analysis and problem-solving skills

• Excellent oral and written communication skills

• Exceptional organizational, self-management, time management, and multitasking skills

• Critical thinking skills; using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems

• Ability to work independently and within a team

• Ability to listen to and understand information and ideas presented through spoken words and sentences

• Interpersonal skills sufficient to engage with separate departments throughout the organization in order to exchange information, influence, and persuade in order to achieve company goals

• Knowledge of safe work policies, procedures, and practices

Education and Experience:

• High school diploma or equivalent required; additional continued education such as project management or some college courses preferred. Equivalent experience in same or similar type functional area may substitute for the educational requirement

• More than two years of work-related skill, knowledge, or experience preferred

Supervisory Responsibilities:

• None

Travel:

• Up to 25% and overnight travel may be expected

• Valid driver’s license

Physical Requirements:

• This position involves extended periods in a stationary position; additionally, the occasional movement inside the office to access office machinery, file cabinets, etc.

• This role frequently communicates with others, must be able to exchange accurate information in these situations

• Routinely reacts to visual, auditory, and other signals, including alarms and instructions, and is required to visually inspect work

Work Environment:

• This job is generally performed in a professional office environment

• Occasionally works outdoors and may be exposed to weather extremes conditions that include inclement weather, heat, cold, and humidity

• Frequently works at a fast pace with unscheduled interruptions
