Job Summary 

The Executive Administrative Assistant/Program Manager provides high level executive administrative support for the COO. This position acts an ambassador both internally and externally and helps drive the implementation of priorities across the organization. This includes but is not limited to travel planning, organizing, managing, executing meetings, relationships, and communications on behalf of the COO. 

This position is often assigned work on a project basis and is expected to manage the entire problem solving process, which includes researching and analyzing information, identifying and recommending potential solutions, and presenting the finished product in the form of a written recommendation or a completed project. They must work with a high degree of autonomy in a fast-paced work environment.

Duties & Responsibilities

  • Administers programs, projects and/or processes specific to the operating unit served;
  • Manage confidential communications and files;
  • Written and verbal communication with Masimo executives and senior leadership;
  • Participate in meetings and events on behalf of the executive;
  • Manage calendars, internal and external business meetings, conference calls etc;
  • Draft and edit correspondence, spreadsheets, graphs, statistics, reports and presentation material;
  • Follow-up on internal and external department requests;
  • Work closely and effectively with the leader to keep him/her well informed of upcoming commitments and responsibilities;
  • Anticipate future needs and deadlines;
  • Write effective copy for a variety of audiences (i.e. healthcare professionals, healthcare executives, patients, consumers and/or employees);
  • Organize, prioritize and multi-task a variety of assignments under pressure with an eye for consistent messaging;
  • Ensure documentation meets editorial guidelines and quality standards;
  • Coordinate multiple documentation reviews with Marketing, Engineering, Quality Assurance, and Regulatory Affairs departments;
  • Route documents in document control system, including associated quality system documentation as needed;
  • Coordinate business and personal travel;
  • Process expense reports and reconcile corporate card statements;
  • Other duties as assigned;

Minimum Qualifications

  • Minimum of five years' experience working for C-level executive at one company;
  • Excellent copywriting, copy editing, and technical writing skills with an ability to think strategically;
  • Ability to research and synthesize information and translate complex, clinical and technical information into plain language;
  • Interpersonal communication skills with an ability to remain flexible in a fast paced environment;
  • Detail-oriented, multi-tasking with the ability to work in a fast-paced environment is required; ability to balance multiple concurrent projects;
  • Excellent organizational, communication, and decision-making skills;
  • Self-Starter who are assertive, enthusiastic, and highly motivated;
  • Ability to work well within a team environment and independently;
  • Must be available and willing to occasionally work extended hours as needed (during crunch times) per day or per week, including weekends and holidays, in order to meet business needs;
  • Portfolio containing finished professional pieces as well as conceptual work;
  • Experience writing to editorial guidelines;
  • Proficient in Microsoft Office Suite, particularly Word, Excel and Powerpoint;
  • Must possess excellent attention to detail and maintain a high commitment to excellence in their work on a daily basis;
  • Must exhibit excellent communication, grammatical, & organizational skills;
  • Database and computer skills required;
  • Must be accountable for their work and exhibit a positive attitude;
  • Domestic and International travel up to 25%; 

Education

Bachelor’s degree in English, Communication, Sciences, or related degree.

Physical Requirements/Work Environment

This position primarily works in an office environment. It requires frequent sitting, standing and walking.  Daily use of a computer and other computing and digital devices is required.  May stand for extended periods when facilitating meetings or walking in the facilities.  Some local travel is necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required.
