As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Administrative Assistant to promote our Catholic Franciscan mission and identity by being responsible for providing administrative support to the Center for Vibrant Schools, helping coordinate and manage date, communicating with the general public, and managing scheduling logistics. This role is responsible for tracking data and expenses related to the Center's day-to-day and program operations. The Administrative Assistant also provides scheduling support the Center leadership team, specifically for the Center for Vibrant Schools director. This
full-time position reports to the director of marketing and operations and works to ensure all tasks are executed professionally, efficiently, on schedule, and in a manner consistent with best practices and Marian University policies.

Essential Duties and Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, through transformative education unity in diversity, leadership through service, integrating faith and life, institutional policies.
  • Provide strong administrative support to peers and leadership team by answering phones, ordering supplies, coordinating and managing administrative data, logging purchase orders and credit card receipts, assisting with Center events like Speakers Bureaus and Board of Visitor meetings, and
    similar tasks.
  • Work with the director of marketing and operations to manage the Center for Vibrant Schools general inbox, following an established process to respond to and organize emails;
  • Help manage SharePoint Sites and shared documents, specifically managing and tracking teachers trained and providing student tutoring.
  • Provide day-to-day assistance to schools/teachers enrolled in Center programs.
  • Assist with calendar management and scheduling; and
  • Additional duties as assigned.

Required Qualifications:

  • Bachelor's degree required in relevant field or 3-5 years of relevant experience working in an office environment.
  • Two or more years of grant administration and management experience with state and federal grants for K-12 schools, foundations, nonprofits, and/or private sector.
  • Exceptional verbal and written communication and reading comprehension skills to effectively interact with all levels of management, staff, clients, and departments.
  • Ability to prioritize and multi-task in a fast-paced environment with minimal supervision.
  • Ability to shift responding to demanding situations and switch gears quickly.
  • Demonstrated ability to meet deadlines.
  • Proficiency in Microsoft Office; and
  • Outstanding interpersonal and organizational skills with strong attention-to-details skills.
