The role of the Dispatcher is to schedule Drivers, crews and equipment to pack, load and/or unload Household Goods and Commercial clients moving needs. The Dispatcher must manage schedules to ensure timely arrivals and deliveries for our customers.

Responsibilities:

  • Estimate the number of labor hours required to complete the job and assign the appropriate employees, equipment, supplies and materials to accomplish the job assignments. Manage dispatch to meet required labor ratios to ensure profitability of the job.
  • Work closely with the coordinators, warehouse team, sales and agents to determine dates/times for delivery feasibility. Daily communication with drivers, crew members, sales, carriers, warehouse, and agents.
  • Responsible for paperwork accuracy associated with all moves. Prepare daily move sheets for branch.
  • Follow-up on all company orders to ensure they are progressing throughout the hauling process.
  • Utilize GPS function, as available, on trucks to monitor daily activities; ensure trucks are running effectively and efficiently throughout the day.
  • Ensure driver and equipment compliance with Department of Transportation regulations.
  • Responsible for ensuring drivers turn in logs or certify ELDs by end of day of delivery or by the next morning at the latest.
  • Work with accounting department to ensure driver charge backs and payments are timely and correct.
  • Work with claims department to ensure the claims process and charge backs are accurate.
  • Work with quality department to help improve driver's customer service skills and ratings.
  • Troubleshoots problems as they arise throughout the delivery process, communicating appropriately with sales, warehouse and coordinator; escalates problems promptly when needed.
  • Deliver moving supplies as needed.
  • Assist Move Coordinators and office staff, when needed, by answering phones, handling paperwork, running credit cards, etc.
  • Recommend to management, compliance and safety actions to improve work procedures, equipment performance, and quality of work and suggest changes in working conditions and use of equipment to increase efficiency, accuracy, and profitability.
  • Achieve branch goal objectives for areas of accountability, which include labor, packing material, truck costs, maintenance, gas and oil, and rental vehicles.
  • Maintain existing vendor and contractor relationships.
  • Depending on branch location, may be the back-up to the Operations Manager or Warehouse Manager, when short staffed or as needed.
  • Maintain and contribute to a safe work environment by adhering to policies and procedures as outlined in the Company Safety Program.
  • Perform any other task or assignment as deemed necessary by the organization
Education and/or Experience:

  • Must be able to work extended hours to accommodate the branch, drivers and crew needs.
  • Previous experience in moving and storage industry, preferred.
  • High School Diploma or equivalent
  • 6 months dispatching or related experience
  • Working knowledge of the basic planning and dispatching process.
  • Knowledge of U.S. geography (locations of and distances between major cities).
  • Proficient knowledge of all Microsoft Office applications.
  • Knowledge of DOT rules & regulations and HOS (hours of service).
  • Able to pass pre-employment drug screen.
  • Excellent organization, administration and time management skills.
  • Highly effective analytical, decision-making, and written/verbal communication skills.
  • Able to set and complete priorities effectively.
  • Willing and able to work long hours and meet deadlines in a fast-paced, high-pressure environment.
  • Ability to manage long distance drivers, independent contractors and agents.
  • Ability to communicate effectively with drivers, coworkers, agents, and customers.
  • Must be eligible to be employed in the United States.
  • Must speak, read and write English fluently.
