Overview

Orrick currently has an excellent opportunity for a Benefits and Leave Specialist in the Wheeling, WV office. This is a hybrid role.

As a key part of our Human Resources Benefits team, manage all aspects of employee leaves in accordance with Orrick's policies and relevant legal regulations. The Benefits and Leave Specialist is responsible for the effective administration of all types of leaves including Family and Medical Leave Act (FMLA), parental leave, disability leave, personal leave, military leave, worker's compensation, and disability accommodations. This role handles sensitive information and requires a high level of discretion, interpersonal care, attention to detail, and a strong understanding of federal, state, and local leave laws.

Responsibilities

    Administer and manage the leave of absence process, ensuring compliance with all applicable laws, regulations, and company policies.
  • Serve as the primary point of contact for employees regarding leave of absence inquiries and concerns.
  • Coordinate with payroll, benefits, HR teams and directors of administration to ensure the accurate processing of leave-related transactions.
  • Prepare leave of absence and workers' compensation payroll information. Interface with Payroll Department on coordination of disability pay offsets.
  • Work closely with Global Head of Benefits and firm counsel.
  • Maintain detailed records and documentation of all leave cases, including requests, approvals, return-to-work clearances, and correspondence.
  • Communicate leave policies and procedures to employees and managers, providing guidance and support as needed.
  • Monitor ongoing leave situations and provide regular updates to HR management and other relevant stakeholders.
  • Maintains an up-to-date knowledge of all government regulations and laws including on-going continuing education on LOA topics in all areas in which we operate.
  • Conduct training sessions for managers and employees on leave policies and best practices.
  • Assist in the development and implementation of leave policy updates in response to changes in legislation or company needs. Prepare and analyze leave reports for HR management, identifying trends and recommending solutions to improve leave administration.
  • Maintain LOA tracking programs including SharePoint, NetDocs and Dimensions for leave of absence program.
  • Act as lead on the implementation of new integrated LOA administration program.
  • Respond to requests from state agencies related to state paid disability and leave programs.
  • Oversee integration of disability vendors (i.e. Short-Term and Long-Term Disability Claims).
  • Oversee integration of leaves (i.e. Workman's compensation with FMLA) with other functions (benefits during LOA, payroll, etc.)
  • Collaborate with local office teams and workers comp partners to facilitate ergonomic evaluations, workplace accommodations and return-to-work plans.
  • Provide guidance to employees on leave related benefit programs such as Bright Horizons and Modern Health.

Qualifications
  • In-Depth knowledge of Family Medical Leave Act, ADA, and all other applicable federal, state and local leave laws, as well as company leave policies.
  • Working Knowledge of integration of leaves and benefits.
  • Three to five years leave of absence administration experience.
  • Strong organizational and time-management skills with the ability to handle multiple cases simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact effectively at all levels of the organization.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.

Compensation and Benefits

The expected salary range for this position is between $45,000 to $75,000.

Orrick is committed to providing a comprehensive, competitive, and thoughtful total compensation package to our attorneys and staff, wherever they work. This compensation and benefits information is based on the Orrick's estimate as of the date of publication and may be modified in the future. The level of pay within the range will depend on a variety of job-related factors that may include, but not limited to, qualifications, relevant experience or education, particular skills or expertise, geography. Other compensation may include an annual discretionary merit bonus, which would be determined by Firm and individual performance.
