Job Description
Position Summary
This position is responsible for maintaining the quality of the bank’s loan documentation and the needed maintenance of all loans.  This is done by assisting and supporting the lending staff.
This job description reflects assignment of essential duties and is subject to change (at management discretion) at any time. 
     

General Duties/Key Accountabilities
  • Review daily reports
  • Verify and mailing of loan notices
  • Handles all paperwork, transactions and computer documentation for new loans and appropriate maintenance for existing loans in the assigned market to be compliant.
    • Examples: Lien searches, order title opinions, pull credit reports and pull flood determinations (these are examples, not an all-inclusive list)
  • Assist in maintaining accurate & compliant loan files
  • Monitors missing and expired documentation in imaging software and reports finding to the appropriate loan officer(s)
  • Processing of closed loans and any lien releases within 30 days
  • Imaging and quality control of all documents in the respective market(s)
  • Monitors missing and recurring documentations in document imaging system and reports back to loan officers
  • Provide exceptional customer service when needed to both internal and external customers
  • Monthly loan clearing account reconciliation
  • Additional duties as assigned


Knowledge/Skills/Abilities
  • High school diploma or equivalent required
  • Working knowledge of loan policies, procedures and bank products
  • Exceptional oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, speak clearly to customers and employees.
  • Exceptional organizational and time management skills; ability to function well in a fast-paced environment
  • Strong attention to detail
  • Knowledge of lending and imaging software with the ability to do updates and troubleshoot programs
  • Strong math skills; add, subtract, multiply and divide in all units of measure
  • Ability to work flexible hours and travel to multiple bank locations as needed
  • Travel to/from and work in multiple locations; must have a valid driver’s license and reliable transportation

  • Frequently communicate with customers by phone and exchange accurate information in these situations
  • Occasionally lift and/or move files up to 50 pounds 
  • Constantly operates a computer and other office equipment, such as a calculator, copy machine and printer 
  • Frequently move inside the office to access files or office equipment
  • Occasionally drive to/from and work in multiple branches/locations
